Scanning to Box from Canon ImageRunner MFPs

Scope

This article provides instructions for setting up certain models of Canon ImageRunner Multi-function Printers (typically leased by Pacific University Offices) to scan directly to Box, Pacific University's online file storage and sharing system.

As of the writing of this article, these instructions have been verified to work on the following ImageRunner models:

  • 4025
  • 4225
  • 4235
  • C5035
  • C5235

Creating Box External Password

If you do not already have one, you must create an external password in Box. This is a password that is different from your PUNet ID password that can be used to log onto Box via third party apps and services. To create an external password:

  1. Log on to Box.
  2. Click on your name in the upper right and choose Account Settings.
  3. In the Create External Password section, click Edit Password.
  4. Create a password that is at least "Strong."
  5. You will use this new password when accessing Box via MFPs.

Adding an Address Book Entry

A separate address book entry must be created for each person who will be using the MFP to access Box and for each destination that will be scanned to.

  1. Press the Main Menu button on the printer.
  2. Choose Scan and Send on the touchscreen.

  4. Choose Register Edit on the bottom right.

  5. Choose Register New Dest.

  6. Choose File as your new destination type.

  7. On the next page, enter the following:
    1. Name: Enter a name you will recognize in the address book, e.g. John's Transcript Folder in Box
    2. Address List: Optionally, choose a subset of your address book to add this entry to.
    3. Protocol: Choose WebDAV.
    4. Host Name: Enter https://dav.box.com.
    5. Folder Path: To save in the root of your Box all files, enter dav. To save to a subfolder, enter dav plus the folder path using forward-slashes ("/"). See example below.
    6. Username: Enter your full PUnet ID@pacificu.edu email address.
    7. Password: Leave Blank
    8. Confirm Before Sending: Make sure this box is checked.

Folder Path Example

You can scan directly to any folder that you have "viewer uploader" or better permissions to. For example, if you have a folder in your files named "Business Office Shared" and a subfolder under that named "Receipt Scans" and if you have permission to add files to that directory, you can set up scanning to that directory by creating an address book entry (see above) with the following Folder Path:
dav/Business Office Shared/Receipt Scans

Scanning to Box Using the Address Book Entry

To scan to Box using the Address Book Entry, go to Main Menu then Scan and Send then Address Book. Find and select the Box scanning address book entry you have created.

You will be prompted to enter a Box password. Enter your Box external password (see above). Do not use your PUnet password. Also keep in mind that each address book entry is linked to a particular account, and you can only use entries associated with your account (or, in other words, where your PUnet ID @pacificu.edu has been saved in the address book).

After entering your credentials, and specifying any other scan settings (e.g. color or black and white, file name), press the green button to begin scanning.

Scanning to Box Using Manual (One-Time) Entry

You can also scan to Box without creating an address book entry. When you do this, the scanner will not save your credentials and so you must enter all information on each scan. To do this:

  1. Press the Main Menu button on the printer.
  2. Choose Scan and Send on the touchscreen.
  3. Chose New Destination.
  4. Choose File.
  5. On the next page, enter the following:
    1. Protocol: Choose WebDAV.
    2. Host Name: Enter https://dav.box.com.
    3. Folder Path: To save in the root of your Box all files, enter dav. To save to a subfolder, enter dav plus the folder path. See example above.
    4. Username: Enter your full PUnet ID@pacificu.edu email address.
    5. Password: Enter your Box external password (see above).
